Anti-Money Laundering
As a property services firm, we are required by law to carry out customer due diligence checks under the Money Laundering, Terrorist Financing and Transfer of Funds (Information on the Payer) Regulations 2017. This means we will ask you to provide proof of identity and proof of address before we can act for you, and in some circumstances we may be required to verify the source of funds. We may retain copies of identity documents for the purposes of meeting these obligations. We are not able to proceed with a transaction if you decline to provide the information we request for these checks.
Who We Share Your Data With
We may share your personal data with:
- Solicitors and other professional advisers involved in your transaction
- Mortgage lenders, brokers, and other financial institutions
- Surveyors, home report providers, and other property professionals
- HMRC, land and property registration authorities, and other government or public bodies
- Our professional regulatory bodies, such as The Property Ombudsman, relevant Law Society bodies, or other bodies as applicable

We will never sell your personal data to third parties. We only share data where it is strictly necessary to deliver our services, to comply with a legal obligation, or where we are required to do so by a regulatory body.
Data Retention
We retain personal data for as long as is necessary to fulfil the purposes for which it was collected, and to comply with our legal, regulatory, and professional obligations. As a general guide:
- Property transaction records (including offers, sale correspondence, and identity verification documents) are retained for a minimum of 6 years from the date of completion or the end of our instruction
- Legal matter files, where we are also instructed on the legal aspects of a transaction, are retained for a minimum of 10 years from the conclusion of the matter, in line with relevant Law Society guidance
- Anti-money laundering records must be retained for a minimum of 5 years from the end of our business relationship, as required under the Money Laundering Regulations
- Marketing consent records are retained until you withdraw your consent or request erasure
Where we are not legally required to retain data beyond the above periods, we will securely delete or anonymise it.
Your Rights
Under data protection law, you have the following rights:
- Right of access — to request a copy of the personal data we hold about you (a Subject Access Request)
- Right to rectification — to request correction of inaccurate or incomplete data
